Even worse, I got text messages and emails at the same time, and as I answered, I would angrily say to myself, "Why don't people just leave me alone?"
It had to be my fault because there is no denying that we live in a noisy world that makes it difficult to concentrate. According to one study, 66% of Americans check their phones 160 times per day on average. There are distractions from coworkers and roommates, in addition to emails and text messages.
The bottom line is that it burdens you when you need time to focus on your work or when you need some alone time to rest, solve problems, or think. So, how do you make this happen? The short answer is to reduce everything that requires you to be available all the time. Therefore, here are ten good tips to help you get there.
Effective tips for time management and increasing productivity
1. Establish Your Own Ground Rules
You are not required to respond to every message or phone call. This should be your most important rule. Even if the issue is critical, it is not necessary to respond immediately. Therefore, if you feel obligated to respond to others, it is because these are the rules that you have established.
Consider it this way. When a friend sends you a funny YouTube video, you respond with a sticker or a short message stating that the video made you laugh. However, if you stop doing that, your friends may be disappointed at first, not because you didn't respond, but because they expected you to. Simply, alter their expectations by altering the rules you establish, and the next time you get a message from a friend, don't respond right away.
It may also be beneficial to be more open about when you work or when you usually respond so that you can share this information on your email or website.
2. Reduce Mobile Phone Use
Giving up the phone is difficult, but you can start slowly, such as giving up your phone for 15 minutes, and there are several ways to do so, including the following:
- Set your phone to flight mode or do not disturb mode.
- Alter your mobile network.
- Alter the network mode.
- Forward calls.
- Take out the SIM card.
- Use apps that allow you to block or receive calls at predetermined times.
- Remove the mobile phone's battery.
- Place the phone in another room.
- Block calls.
You can also occupy yourself by reading, learning a new hobby, or reorganizing and arranging your home or workplace.

3. Set Specific Times to Respond
Remember that just because you aren't available 24/7 doesn't mean you have disappeared. For example, just because you don't check your email during family dinner or on your days off doesn't mean you have stopped paying attention to it. It just means you look at it and respond to messages at specific times.
You may not participate in many social activities during the work week. However, you can meet up with friends and family during your break time.
4. Feel Free to Say "No"
Most of us are unwilling to refuse other people's requests, perhaps out of a desire to avoid disappointing them or to avoid coming across as ungrateful. However, when you give in to everyone else's requests, you ignore your own needs, put unnecessary strain on yourself, miss out on opportunities to learn new things, and run out of energy. Therefore, it is beneficial to be a little self-centered and to stop saying "yes" to everything that is asked of you. This is done deftly by:
- Say it frankly without beating around the bush.
- Briefly explain your justification.
- Suggest an alternative proposal.
- Inform others of your ground rules, such as stating that you don't answer work calls after 6 o'clock.
5. Delegate a Person or an Answering Machine to Respond for You
If you get tired of checking your mail, delegate it to someone. It might be a member of your family or you could use an answering machine. make a message that you are away from the office if you want to go on a trip out of town.
For example, if you want to go on a trip outside the city, leave a message saying that you are unavailable. Therefore, when someone calls, the answering machine will notify you that they called and they will hear a message saying that you are away and that you will call them when you get back.

6. Use Fewer Social Media Apps
Limit yourself to only the social media platforms that you actually use, as it is not necessary to have an account on every social media platform. Keep in mind, just because you don't use a communication app a lot, doesn't mean you won't get notifications. Either delete your account on the app you no longer use or change the settings of the application so that you no longer receive notifications from it.
7. Don't Share All Your Contact Information
You don't have to share all your contact details. It is sufficient to have your business email address on your website, and there is no need to share your phone number.
8. Go to a Quiet Place Without Telling Anyone
Let's say you need to focus for an hour. To avoid being disturbed while working, leave your desk and go to a coffee shop with what you need. Simply put your phone in silent mode so that when someone calls you, you are not required to answer out of the courtesy rules. You can go back to your office once you've finished your work. Since you won't be gone for long, you don't need to let anyone know where you're going.
9. Choose a Sign That You Are Busy
Sometimes you just have to be honest, for example, if your office door is locked, chances are no one will come in. But to ensure that no one will disturb you, you can put up a sign that says "Do Not Disturb" and then others will know that your office door is closed for some reason.
If you're unable to block out noise, you can put on headphones or a desk lamp that indicates you're busy so that others will know you don't want to be disturbed.
10. Set Your Status as “Unavailable”
Some social media platforms, like Slack, show your availability, allowing users to initiate conversations with you even when you are not online. Setting your status as unavailable is the simplest way to solve this issue. Better yet, use these websites less and engage in more real-world activities.
